Privacy statement

Bep is an AI-powered practice platform for legal conversation skills. This statement explains how we handle your data.

Beta: use at your own risk

Bep is a beta version. We are still working out, and having audited, how we handle (personal) data and this privacy statement. Use Bep at your own risk and do not share any real or sensitive personal data.

1. Who is responsible?

Bep is provided by [NAAM], based in Amsterdam/Maastricht, the Netherlands. If you have questions about this privacy statement, you can contact us at info@bep.nl.

2. What data do we process?

Bep distinguishes between two situations:

Users without an account (default)

Training pages can be accessed without logging in. We do not store transcripts, feedback reports or any other conversation content ourselves. The only data processed are the messages you type or speak during the conversation. This is needed to run the conversation and generate feedback. On our side, these are deleted as soon as the session ends; the external AI service (Google, or OpenAI for the OpenAI voice option) may retain data temporarily under its own terms (see section 4).

Users with an account (scenario builders/lecturers)

You need an account to create and manage scenarios and training pages. Your profile details (name, email address and organisation details) and the scenarios and training pages you create are stored on servers in the Netherlands (EU). Only the authentication itself (your login details, such as email address and encrypted password) runs through Google Firebase Authentication and may be processed outside the EU (United States). This transfer relies on Google's appropriate safeguards (EU-US Data Privacy Framework and EU Standard Contractual Clauses).

3. Use of external AI services

Bep uses AI services from Google, and for some voice conversations from OpenAI, to simulate conversations and generate feedback. The content of your conversation (the text you type or speak) is processed by these providers:

  • Text conversations, scenarios and feedback are processed through Google Vertex AI in a data centre in the Netherlands (EU).
  • Spoken (voice) conversations are processed in real time through Google's Gemini service, which may involve processing outside the EU (United States), also under Google's appropriate safeguards (EU-US Data Privacy Framework and EU Standard Contractual Clauses).
  • Spoken conversations through GPT-Live: if your organisation has switched on this voice option, a voice conversation is processed in real time by OpenAI, in the United States. This transfer relies on the EU Standard Contractual Clauses in OpenAI's data processing agreement.

Our strong advice

Do not use real names, addresses, citizen service numbers (BSN) or any other personal data in the conversation. Only use fictitious details as given in the scenario, or make up fictitious information yourself.

4. Retention periods

We (Bep) do not store the conversation content of users who are not logged in; once the session has ended, we can no longer access it. We do not, however, control any retention by Google or OpenAI: the AI service that processes the conversations may retain data for a certain period under its own terms (for example for abuse detection). Please refer to Google's privacy policy and, if you use the OpenAI voice option, to OpenAI's. Account data of logged-in users is kept for as long as the account is active and is deleted on request.

5. Your rights

Under the GDPR you have the right to access, rectify and erase your personal data, as well as the right to restrict processing and to data portability. To exercise these rights, contact us at info@bep.nl.

You also have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

6. Cookies

Bep does not use tracking or advertising cookies. Functional cookies are only used to authenticate logged-in users.
